AI workflow automation

AI workflow automation you build in one sentence.

Describe what should happen: “when someone fills out the form, open a deal, and if they don’t reply in two days, follow up.” The AI builds the workflow, you review it and switch it on. Where judgment is needed, the AI makes the call — where money or a customer is at stake, you approve.

  • A working draft from one sentence — in the editor or in the Gammatica AI chat
  • “AI decides” branches: is it urgent, is it a complaint, is it worth it — based on the run’s data
  • Manual approval: see the email exactly as the customer would, and edit it before it goes
  • Step-by-step run history: what went out, what got stuck, when the next step runs
  • Triggers on dates, due dates, tickets, payments and webhooks — not just new leads

1 sentence

You know what to automate. You just don’t have a free afternoon.

The follow-up email, the task for a teammate, the reminder before a warranty runs out: it’s all in your head, and it all slips the moment things get busy.

Automation tools could do it. But you end up dragging boxes, mapping fields, and one mistyped condition means nothing goes out for weeks — and nobody notices.

The worse case: an email goes out that shouldn’t have. Wrong name, wrong customer, and there’s no undo.

From one sentence to a running workflow

1

Describe it

In the editor’s AI field or in the Gammatica AI chat. The AI builds from the full trigger and step catalog; if there’s no step for part of your request, it says so instead of inventing one.

2

Get a draft

Nothing starts on its own. You see the trigger, the conditions, the branches and the emails — and you can change any of them.

3

Test it

A test run walks through a real sample step by step and shows what would happen, without sending or changing anything.

4

Switch it on — and watch it

Every step leaves a trace under Runs. If something gets stuck, you get an email with a button straight to the workflow.

What it’s used for

Three situations you’ll recognize.

Follow-ups that know when someone replied

Proposal sent → wait three days → no reply, send a second email. If the customer writes back in the meantime, the workflow stops on its own.

A reminder tied to a date

Warranty end, annual maintenance, contract renewal: an email to the customer and a task for the owner X days before the date — repeating every year if you want.

Leads that land in the right place

Someone books a demo through the form → a deal opens in your pipeline → the AI decides if it’s urgent → if yes, a call task for today; if not, a thank-you email.

Why this is different

One sentence instead of dragging boxes.

The same workflow, two ways. On one, you map the fields. On the other, you say what you want.

Building it

Boxes, field mapping, trial and error

One sentence; the AI builds a draft

Decisions along the way

Rigid rules only: if field = X

The AI decides: urgent or not, complaint or not

Outgoing email

It goes out, period

Manual approval, with a preview you can edit

When it breaks

Stops silently for days

A step-by-step trace, and an email to you

Your data

Synced over from another system

Runs where your contacts and deals already live

Companies that have already handed the work over

Don’t take our word for it.

I’ve tried a lot of project management software, but finally here’s one that’s easy to use and meets high expectations.

Anna

You don’t have to learn it. You have someone to ask.

Anna is the assistant built into the system. Not a generic chatbot: she knows Gammatica specifically, across about 300 topics — from credits to permissions to billing. Ask in a sentence and she answers; where it helps she shows you with a small animation and links you straight to the right screen.

  • Ask in plain English, get a plain answer
  • She doesn’t just describe where it is — she takes you there
  • Available at night too, with no ticket to raise
AAnnaLive

What people actually ask her:

How do I send a reminder 30 days before a warranty expires?

Let me open it for you

What you want to know before you commit.

A new contact or deal, a stage change, a custom field change, a form or survey, a booking, a task or due date, a proposal or contract, an order, a Stripe payment, an incoming email, the chatbot, a support ticket, a schedule, a date field, or an incoming webhook. If it isn’t on the list, it isn’t a trigger: there’s no separate “birthday” or “deal won” trigger — for a won deal, use “A deal lands in a stage” set to your won stage.

In a branch, you can filter on fields — or ask the AI a question, like “Is the ticket urgent?” The branch names are the possible answers, and the AI picks one based on the run’s data: contact, deal, email, task, custom fields. If none fits, the Otherwise branch runs.

Only if you set it up that way. Turn on manual approval on the trigger and the workflow pauses to show you the email — recipient, subject and the text with every variable filled in. You can edit it for this one send, skip a step, or cancel the whole run; Cancel even undoes the step that triggered it. Unsubscribed contacts never get an email, approved or not.

Yes, through a connected Billingo or Számlázz.hu account — both are Hungarian invoicing services — from the deal or order data. By default it prepares the invoice or proforma and you approve it; it only issues one with no human review if you turn that on. One rule bills a deal once, unless you set it up for a recurring fee.

Yes. An incoming webhook lets any external form or system start a workflow — the URL is ready instantly, and the name, email and phone it sends become a contact. The outgoing webhook step sends data to Make, Zapier, n8n or your own URL; if that address stops accepting data, the step is marked “Needs fixing” and we let you know.

Automations are included in every plan. Emails sent from your connected Gmail or Outlook mailbox cost nothing extra; emails from your own sending domain and SMS are paid from your usage balance. Only steps that use AI — AI decisions, agents, AI-written emails — use credits. A test run with no AI steps is free.

It doesn’t write code for you, and it won’t invent a step that doesn’t exist: if part of your request has no trigger or step, the AI tells you. Outgoing email needs a connected mailbox or your own sending domain — without one, the email step is skipped, the other steps still run, and we tell you.

Say what it should do. It builds the rest.

A draft from one sentence, a test run on a real sample — and nothing starts until you switch it on.

P.S. The trial costs you nothing and asks for no card details. If it isn’t for you, you close the tab and we never charge you.
