Project management

Project management software with list, kanban, sprint and Gantt views — plus an AI project manager.

Every project gets its own board with five views. Each task carries its owner, due date, timer and files, and the Workload view shows who’s overloaded next week. If you want, the AI project manager reviews every new task and tells you what’s missing before work starts.

Review note: an approved sitemap is missing before work can start.

  • List, Kanban, Sprint, Gantt and Auto views — all on the same tasks
  • Your own columns and custom fields: text, number, date, single select, multi-select
  • A timer on every task, with reports by project, client and teammate, plus CSV export
  • Workload view: two weeks, person by day — reassign work with one drag
  • Client portal: clients see where the work stands, no sign-up needed

Your tasks live in one app. Your clients live in another.

Tasks sit in a project app, clients in the CRM, billable hours in a third spreadsheet. On Monday morning, everyone is looking for the same thing in a different place.

You find out who’s overloaded next Wednesday when the deadline slips.

Meanwhile the client emails to ask how it’s going — and someone spends half an hour pulling the answer together.

From kickoff to handoff

1

Create it

Give it a name, and the board is ready with To do · In progress · Done columns. Rename them, add more, or duplicate an existing project. Bring your old Excel task list over in the Gammatica AI chat.

2

Assign it

Owner, due date, start date, subtasks, custom fields. The Workload view shows two weeks ahead who has how much, and you reassign with a drag.

3

Move it forward

Drag cards across the kanban, plan tasks into sprints, and see on the Gantt timeline what runs when. The timer tracks hours right on the task.

4

Show the client

With the client portal link, your client sees open tasks without signing up, and can message your team. Private tasks and internal comments never show up there.

What it’s used for

Three situations you’ll recognize.

Agencies with client projects

One client per project, each with a client portal link. Hours are tracked on tasks, and at month’s end you group the time report by client.

Dev teams running sprints

Two-week sprints with a goal and a backlog, cards moving across the kanban, and the Workload view showing who has room for one more task.

Construction and installs with a handoff date

The Gantt shows the order of the steps, plans and photos live in the project’s Files library, and the AI project manager flags upcoming due dates.

Why this is different

One project instead of three separate tools.

Tasks, time spent and the client sit in one place — and your project manager never skips the Monday review.

I’ve tried a lot of project management software, but finally here’s one that’s easy to use and meets high expectations.

I’ve been using Gammatica for over a month. We moved off Notion onto this platform quickly and painlessly.

Anna

You don’t have to learn it. You have someone to ask.

Anna is the assistant built into the system. Not a generic chatbot: she knows Gammatica specifically, across about 300 topics — from credits to permissions to billing. Ask in a sentence and she answers; where it helps she shows you with a small animation and links you straight to the right screen.

  • Ask in plain English, get a plain answer
  • She doesn’t just describe where it is — she takes you there
  • Available at night too, with no ticket to raise

What people actually ask her:

How do I reassign tasks in the Workload view?

Let me open it for you

What you want to know before you commit.

Five per project: List, Kanban, Sprint, Gantt and Auto. The list sorts by any column, kanban columns can be renamed and extended freely, and each sprint has a name, a goal and a date range, with a backlog. The Gantt puts tasks with a start and due date on a timeline. Workload is a separate menu item that shows every task with a due date: two weeks, by person and by day.

Yes. Every task has a timer: start it, stop it, and the time adds up on the task, with each entry kept as its own row. In Reports, on the Time tracking tab, you filter by period, group by task, project, client, teammate or day, and export to CSV. Non-admins only see their own entries.

Not directly: projects don’t have a client field. There are two ways instead. A task can belong to a project and a contact at the same time, so the work also shows on the client’s record, and time reports can be filtered by client. With the client portal, you share the project itself with the client through a link. A setup that works well: one client per project, with the project named after the client.

The AI project manager — Cato by default — reviews each new task: it says in one sentence what “done” means, what’s missing to get started, and adds a 3–5 step checklist and a suggested owner. It flags upcoming due dates, posts a weekly status for the team on Monday morning, and, if you turn it on, completes certain tasks itself, such as a presentation, a proposal or a survey. In Semi mode you approve its work; in Full mode it works on its own. It never sends anything to the client.

By default, everyone on your workspace team. Set it to private, and only you and the people you invite can see it — with “Can view,” “Can edit” or “Admin” access; even the workspace admin can’t see a private project. Outside experts can join through partner access: they don’t take a seat, and you decide feature by feature what they can view or edit.

Projects don’t have a map view: the map lives in Sales and uses contact addresses. The Gantt has no task dependencies, and you can’t drag the bars — rescheduling happens on the task or in the Workload view. And there’s no client field on a project, as covered above.

Projects and tasks are included in every plan, along with time tracking, the Workload view and the client portal. AI credits are only used for AI work: the Auto view and the Gammatica AI chat. Your first Auto view trial run is free. Project files use your workspace’s 5 GB of storage.

Move your first project over today.

Create a project, import your task list, and check the Workload view to see who’s carrying what next week.

P.S. The trial costs you nothing and asks for no card details. If it isn’t for you, you close the tab and we never charge you.
